Administrative Assistant / Office Assistant
Looking for an Office Hero
Due to our growth π, we want to strengthen the Rakedi team with an organized, customer-friendly and bilingual (NL/FR) Office Hero who ensures everything runs smoothly behind the scenes and on the phone.
You are the first point of contact for customers and suppliers and you support the team both administratively and practically. You work closely with both commercial and technical colleagues and make sure everything in the office runs structured and efficiently. In addition, you help in our internal Production by administratively entering and managing products in POS systems and online ordering platforms.
You report to the Managing Director and join an informal/family-style work culture with great colleagues where initiative is encouraged. You are an administrative buffer within the team and step in where needed to keep daily operations running smoothly.
Responsibilities
- Managing the phone and shared mailbox ππ§
- Welcoming customers and guiding them when they visit the office
- Informing customers about the status of their support or service request π
- Support for various internal tasks: onboarding new customers, data entry, license management
- Preparing shipments for customers π
- Occasional deliveries with the Rakedi van in the region
- Contacting suppliers and following up orders π¦
- Stock management π
- Ordering office supplies
- Preparing meeting rooms and coffee β
- Stepping in for various internal tasks when needed
You ensure the office stays organized so colleagues can focus on their core tasks.
Which Office Hero are we looking for?
- Ideally you work 4 days per week and can later grow into a full-time role
- You are organized and accurate
- You are customer-friendly, communicative and bilingual (NL/FR)
- You work independently and take initiative
- You are digital minded and comfortable with email and Office tools π»
- A first similar experience is a plus, but not required
